Cancellation Policy

Availability Equipment availability depends on existing reservations and equipment readiness. Rental requests must include renter information and desired dates. Availability will be confirmed via email within 36 hours. A booking is only confirmed once: Rental details are finalized Required insurance is approved 50% upfront payment is received Crystal Balloon Studio reserves the right to decline any rental request at its sole discretion. Payment 50% upfront to confirm booking Remaining balance due on return date Bookings are not confirmed until payment is received. Security Deposit A refundable security deposit is required for all rentals. Deposit amount: Insurance deductible (minimum $2,500 unless otherwise approved) Plus one (1) additional rental day rate The deposit may be applied toward deductible obligations, missing items, damages, cleaning, or late fees. Insurance A valid Certificate of Insurance (COI) is required before equipment release. The policy must: Cover full replacement value Be written on a replacement cost basis Name Crystal Balloon Studio as Loss Payee and Additional Insured Have an approved deductible No equipment will be released without proper insurance documentation. Pickup & Return Pickup: Within 10 hours before rental start Return: Within 14 hours after rental end Late returns without prior approval will incur: One additional full rental day Plus 25% of daily rate per day late Pickup / Return Location: 5102 Sycamore Canyon Blvd Riverside, CA 92507 Equipment Responsibility All equipment is delivered in proper working condition. Renter must inspect and test equipment at pickup. Acceptance of equipment constitutes acknowledgment of its condition. Renter is responsible for: All loss or damage during rental period Transportation Missing components Equipment may not be sub-rented or transferred without written consent. Equipment must not be exposed to rain, sand, or extreme environments without prior approval. Cancellation Written cancellation required. 7+ days before rental → Full refund 3–6 days before → 50% retained <48 hours → Non-refundable Weather does not constitute grounds for refund. Liability Crystal Balloon Studio is not liable for production losses, lost footage, delays, or consequential damages.
